Privacy policy

How the WorldLink HR Academy collects, uses and protects your personal data, in line with Ghana's Data Protection Act, 2012 (Act 843).

Last updated 19 October 2026

1. Who we are

The WorldLink HR Academy is run by WorldLink HR, Accra, Ghana, with partners across 5+ African markets. We are the data controller for the personal data described here. For any privacy question or request, email worldlinkhr779@gmail.com.

2. What we collect

Enrolment details: your name, email address, phone or WhatsApp number, the program and class type you choose, any discount code, and the time you accepted our terms.

Account details: for learners and staff we create a portal account with your name, email, phone, location, profile photo if you add one, your roles, and a securely hashed password. We never store your password in readable form.

Learning records: lessons completed, live-class bookings and attendance, assignment submissions and files, quiz answers and scores, grades and feedback, mentorship goals and session records, messages you send in the portal, and certificates issued to you.

Payment records: the amount, currency, payment method type (for example Mobile Money or card), reference and status. Payments are processed by Paystack. We do not see or store your full card number or Mobile Money PIN.

Contact and enquiry details you send through the contact form, and basic technical information such as your browser and device, which our hosting provider logs to keep the site secure and running.

3. How we use it

To enrol you, take payment, create your portal account and deliver your program: live classes, lessons, assessments, feedback, mentorship and certificates.

To contact you about your enrolment, payments, classes, grades and certificates by email, SMS or WhatsApp. These are service messages, not marketing.

To verify certificates. When someone enters a certificate ID on our public verification page, we show the holder's name, the program, the grade if any, and the date it was issued.

To run and improve the academy, keep records required by law, and prevent fraud and misuse.

We do not sell your personal data, and we do not use it for advertising.

4. Our legal basis

We process your data to perform our agreement with you when you enrol, with your consent (which you give when you accept these terms at enrolment), to meet our legal obligations, and for our legitimate interest in running a secure, well-managed academy.

5. Who we share it with

Your facilitators, mentors and program managers see the records they need to teach and support you. Super administrators can see all records.

Service providers who process data on our behalf: Paystack (payments), Neon (database hosting), Vercel (website hosting), Cloudinary (file and image storage), Google (email delivery, and Google Analytics if you allow analytics cookies) and FlashSMS (text messages). They may store data outside Ghana; we use providers that apply recognised security standards.

Where you take part in a placement or readiness program, we may share your name, results and contact details with prospective employers, and we will tell you before we do.

Authorities, where the law requires it.

6. How long we keep it

We keep enrolment, learning and certificate records for as long as your account is active and for up to six years afterwards, so certificates stay verifiable and we can meet accounting and legal duties. Payment records are kept as tax law requires. Enquiries that never become enrolments are deleted after two years. Declined partner applications and their files are deleted 12 months after the decision.

7. Your rights

Under Act 843 you can ask to see the personal data we hold about you, have it corrected, object to how we use it, or have it deleted where we no longer need it. You can also withdraw consent at any time, though we may then be unable to continue your program.

To make a request, email worldlinkhr779@gmail.com from the address on your account, or use the contact form. We will reply within 21 days. If you are unhappy with our answer you can complain to the Data Protection Commission of Ghana.

8. Security

Data is sent over encrypted connections, passwords are hashed, payments are handled by Paystack, and portal access is limited by role so staff see only what their work requires. Key administrative actions are recorded in an audit log. No system is completely secure, and we will tell you and the Commission promptly if a breach puts your data at risk.

9. Cookies

We use one essential cookie to keep you signed in, Google Analytics cookies only if you accept them, and store a few preferences in your browser. See our cookie notice.

10. Changes

We will post any changes here and update the date above. Significant changes will also be emailed to enrolled learners.
